This Privacy Policy explains how SmartBrain / Ask Amélie ("we") handles data when you use the Service.

1. Data we process

To provide customer memory and recommendations, we process: the messages your customers send to your connected bot/CRM, a stable customer identifier (e.g. subscriber or contact ID), a first name when available, and the catalog/FAQ content you upload. From conversations we derive memory facts (e.g. preferences, budget, stated objections) to personalize future replies.

2. Why we process it

Solely to deliver the Service you requested: remembering customers, answering from your knowledge, and recommending products. We do not sell your data or your customers' data, and we do not use it to build cross-company advertising profiles.

3. Hosting & sub-processors

Data is hosted on EU infrastructure. We use trusted sub-processors to operate the Service, including AI model providers to generate replies and Stripe for payments. These providers process data only to perform their function.

4. Retention

Conversational memory is retained for a limited window depending on your plan (from 24 hours on the free demo up to 90 days on paid plans). You can export or delete a customer's memory, or your entire account data, at any time on request.

5. Your rights

Consistent with the GDPR, data subjects may request access, correction, deletion or portability. As the business operating the bot, you are the data controller for your customers' data and SmartBrain acts as your processor; we assist you in honoring such requests.

6. Security

Data is isolated per tenant by API key, transmitted over HTTPS, and access is restricted. No method is perfectly secure, but we take reasonable measures to protect your data.
